The headline number on its own says very little: a $95 quote and a $180 quote can describe genuinely different services, or they can describe the same service with different inclusion lists. Providers publish three broad tiers: an entry-level band covering business-hours helpdesk and patching, a standard band that is the most common arrangement for small and mid-sized businesses, and a premium or "security-first" band aimed at regulated industries or businesses that need 24/7 cover. A managed IT contract priced per user is really pricing three things at once: a helpdesk, a set of background tools such as patch management, antivirus and backup monitoring, and a level of proactive oversight.
At the entry tier, published Australian rate cards put this around $50 to $130 per user per month, usually covering business-hours helpdesk, patch management, antivirus and basic monitoring, enough for a business with light infrastructure and no formal compliance obligations.
The standard tier, quoted between roughly $120 and $250 per user per month by most providers, is the most common arrangement for Australian small and mid-sized businesses. It typically adds extended support hours, endpoint detection and response, device management and a provider who liaises directly with software vendors on the business's behalf.
A premium or security-first tier, generally $200 to $350 per user per month, adds 24/7 monitoring, managed detection and response, alignment with the Australian Cyber Security Centre's Essential Eight framework, and often a named virtual CIO for strategic planning. Businesses in regulated sectors (health, legal, financial services) are the most common buyers at this tier, usually because a client contract or an insurer requires it.
What is usually billed separately
The monthly per-user fee rarely covers everything a business spends on IT. Four items are commonly billed on top, and a quote that omits them is not necessarily cheaper; it may simply be incomplete.
Software licensing, such as Microsoft 365 and similar subscriptions, is billed separately in almost every Australian arrangement and is not part of the per-seat support fee.
Hardware is typically supplied at cost, sometimes with a margin added by the provider for procurement and setup.
Ad hoc or project work outside the standing agreement (an office move, a server migration, an unplanned incident) is usually billed at an hourly break-fix rate. Published Australian rates for this kind of work run from roughly $130 to $250 an hour, and after-hours callouts commonly add a surcharge of 20 to 40 per cent on top of standard rates.
Some providers also charge a one-off onboarding or setup fee, reported at $500 to $2,000, to cover initial documentation and account migration onto their systems. This is not universal, and a few providers treat a large onboarding fee as a sign the ongoing price is being subsidised by new-client charges rather than the service itself, which is worth asking about directly.
Per user, per device, or a fixed monthly fee
Per-user pricing is the dominant model in Australia, and it scales cleanly as a business grows or shrinks headcount. Two alternatives exist and are worth knowing about when comparing quotes.
Per-device pricing charges for each managed endpoint (laptop, desktop, server) rather than each person, and Australian providers quote this at roughly $80 to $150 per device per month. It can work out cheaper for a business where staff share fewer devices than head count, or more expensive where several devices support one person.
A small number of providers quote an all-inclusive fixed monthly fee instead of a per-unit rate, usually for a business with a stable and predictable environment. A small team of five to fifteen staff might see a fixed quote in the region of $3,500 to $5,500 a month; a business of fifteen to fifty staff more commonly sees $6,000 to $12,000 a month. A fixed fee removes the incentive to argue over headcount, but makes rapid growth or shrinkage harder to reprice cleanly.
What moves the price
Four factors explain most of the spread between a $90 quote and a $250 quote for what looks like the same service.
Headcount matters first. Per-seat rates fall as a business grows, because a provider's fixed costs spread across more users. A business under 20 seats typically sits near the top of a tier's range; above 150 seats, rates commonly fall 10 to 20 per cent below the quoted band.
On-premises infrastructure matters second. A business running entirely on cloud services such as Microsoft 365, with no on-site server, is materially cheaper to support than one running an on-premises file server or a line-of-business application that needs its own maintenance.
Coverage hours matter third. Business-hours-only support sits at the bottom of a tier; extending to evenings, weekends or full 24/7 cover is the single biggest driver of moving from a standard to a premium quote.
Industry and compliance obligations matter fourth. Businesses in health, legal and financial services carry obligations that add both technical work and reporting overhead, and providers price for that directly rather than as an afterthought.

No. Per-device pricing and an all-inclusive fixed monthly fee are both used, though per-user is the most common model. Per-device pricing typically runs $80 to $150 per device per month; a fixed fee usually appears only where a business's environment is small and stable.
What isn't included in the monthly per-user fee?
